Legal Assistant to National Litigation & Civil Rights Director and General Counsel

Description:   CAIR is seeking an experienced Legal Assistant to provide administrative support to the National Litigation & Civil Rights Director and General Counsel.

Title: Legal Assistant to National Litigation & Civil Rights Director and General Counsel

FTE: 1 FTE (full-time)/Exempt

Reporting to:   National Litigation & Civil Rights Director and General Counsel

Position Summary:

The Legal Assistant provides administrative and substantive support to the National Litigation & Civil Rights Director and General Counsel particularly focusing on managing responsibilities, priorities and projects.  The Legal Assistant is an integral part of the litigation and civil rights teams, will work closely with other departments within the organization, and will interact with CAIR chapter staff, law firms, sister organizations and others.

Position Responsibilities:

  • Providing essential and day-to-day support to the National Litigation & Civil Rights Director and General Counsel in all areas of responsibility, including assisting with internal and external communications; assisting with drafting, editing and preparation of correspondences and other legal documents; maintaining confidential files; and performing and/or managing special projects upon request
  • Providing administrative support and secretarial assistance including answering, screening and directing phone calls; responding to emails; managing and maintaining calendar and deadlines; tracking and managing CLE, licensing and court admission requirements for department staff; coordinating travel, speaking engagements, conference calls and meetings; attending meetings and taking minutes upon request; capturing action items and ensuring follow-up and prep time for participants; ensuring department tasks are met; among other administrative tasks
  • Assisting with tracking, coordinating, preparing upon request and ensuring the timely filing of federal, state and local filing requirements, including certificates, licenses, permits, corporate filings, trademarks and insurance policies
  • Acting as liaison with the accounting team to ensure accurate bookkeeping of case-related expenses, payments/reimbursements are handled in a timely fashion, and coordinating settlement disbursements to clients
  • Preparing department and department budget reports and presentations to present to key leadership, the Board, chapters and the community as requested
  • Acting as liaison with other team members/departments within the organization, including acting as key point of contact for questions, scheduling meetings, coordinating and providing logistical and administrative support for joint projects and collaborative efforts
  • Providing administrative support for litigation upon request, including preparing initial drafts of routine legal documents; compiling exhibits; preparing deposition and trial binders; gathering documents and evidence to support legal cases; client follow-up; scheduling court reporters and depositions; contacting courts and opposing counsel; editing and formatting pleadings; creating tables of content and authorities; indexing pleadings; organizing electronic and paper files; monitoring and docketing deadlines; and coordinating court filings
  • Developing presentations and speeches
  • Assisting with coordinating annual civil rights retreat, new attorney orientation, webinars, presentations and other programs and events upon request
  • Recruiting and managing law clerks, legal fellows and legal interns
  • Ensuring strategic objectives of the National Litigation & Civil Rights Director and General Counsel are met
  • Other duties as assigned

 Position Qualifications:

  • Bachelor’s degree and/or equivalent work experience required.
  • At least four (4) years of administrative experience in a legal or public policy environment is a plus.
  • Advanced knowledge of Google Suite, MS Word, Excel, PowerPoint, Outlook and Adobe Acrobat.
  • Excellent organizational skills in terms of managing project deadlines and volumes of paperwork.
  • Ability to establish and maintain cooperative working relationships.
  • Flexibility to adapt to a rapidly changing political environment.
  • Must be able to handle multiple tasks simultaneously and under pressure while prioritizing important issues and meeting tight deadlines.
  • Must be independent at times, collaborative at other times, and have the judgment to discern when to be either.
  • Strong customer service skills required.
  • Excellent proofreading skills and strong writing skills.
  • Strong attention to detail, strong research skills, resourcefulness, and commitment to high quality and timely work product are necessary.
  • Ability and willingness to master all legal research and software applications that are or may be used.
  • Travel and work weekends and outside business hours.
  • Personal interest in and commitment to American-Muslim issues.

All positions at the Council on American Islamic Relations (CAIR) may require travel on a regular basis or periodically.  (Travel temporarily suspended due to COVID-19)

Compensation: 

Salary commensurate with the candidate’s qualifications and experience.  Compensation package includes retirement benefits with limited employer match starting 6 months after start of employment, as well as medical, vision and dental benefits.  Vacation, Personal, and Sick Leave.
